DRAFT - minutes of the meeting of the Courthouse Committee

Sawyer County Board of Supervisors

December 6, 2011, 7:00 p.m., Assembly Room, Sawyer County Courthouse

 

members present:  Dale Schleeter (Chair), Ron Kinsley, Mel Olson, Walt Jaeger

 

also present:  Information Technology Department Director Mike Coleson, Land Records Department Director Robyn Thake, Clerk of Court Anne Marie Danielson, Child Support Department Director Sandy Okamoto, Human Resource Manager Michelle Jepson, County Clerk Kris Mayberry

 

Motion by Jaeger, 2nd by Kinsley, to approve the meeting agenda as presented.  Motion carried. 

 

Motion by Kinsley, 2nd by Jaeger, to approve the November 8, 2011 meeting minutes.  Motion carried.

 

Clerk of Court Anne Marie Danielson and Human Resource Manager Michelle Jepson presented information (including a comparison of Wisconsin clerk of court office staffing levels and case loads) in support of a request to fill a vacant Deputy Clerk of Court position in the Clerk of Court’s Office.  Motion by Kinsley, 2nd by Olson, to recommend Personnel and Administrative Committee and County Board approval of the request.  Motion carried.

 

Child Support Department Director Sandy Okamoto and Human Resource Manager Michelle Jepson presented a proposed position description for a Child Support Specialist – Enforcement Agent position in the Child Support Department for the position currently held by Brad Huff.  Motion by Kinsley, 2nd by Jaeger, to recommend Personnel and Administrative Committee approval of the description.  Motion carried.

 

Clerk of Court Anne Marie Danielson presented a department report and advised the Committee that the Clerk of Court’s Office will discontinue issuing passports at the end of 2011.

 

Land Records Department Director Robyn Thake presented a written report, including a report of documents processed by the Real Property Lister, that 19 of 21 municipalities in the County have submitted their mill rates, that the printing of tax bills began on December 2nd, and that the flood elevation data project would be discussed at the January meeting of the Zoning and Conservation Committee.

 

Information Technology Department Director Mike Coleson presented a department report for the Information Technology Department, including the installation and upgrade of computers, printers, and software; a proposal for a new long distance service agreement with CenturyTel (which will be reviewed by the Finance Committee); assistance with a Sheriff’s Department road listing program; assistance with a new automated interface with State of Wisconsin program for foster care payments for the Health and Human Services Department; preparations to upgrade the New World software system; improvements to the speed of the network for the 5th St. Maintenance Garage; assistance to the Veterans Service Department with conversion to a new system for tracking the medical information of veterans; and assistance to town treasurers with the tax receipting system.

 

Child Support Department Director Sandy Okamoto presented a department report, including that she will travel to Madison, to discuss with representatives of the State and the Lac Courte Oreilles Tribe (LCO), the planned transition to having an LCO child support department provide child support services to the children of the Lac Courte Oreilles Tribe.

 

The Committee reviewed a written department report provided by County Surveyor Dan Pleoger including survey crew work in the Towns of Winter, Ojibwa, and Hunter, the review of 3 certified survey maps (4 new parcels), and a request for approval for Mr. Pleoger to travel to attend the 2012 Surveyors’ Institute being held January 25-27, 2012, in Stevens Point, Wisconsin.

 

The Committee reviewed the monthly department expense vouchers.  Motion by Kinsley, 2nd by Olson, to approve the department reports, the County Surveyor’s request for approval to attend the Surveyors’ Institute, and the department expense vouchers.  Motion carried.

 

County Clerk Kris Mayberry reported on insurance, risk management, and liability claims involving Sawyer County.
