DRAFT - minutes of the meeting of the Courthouse Committee

Sawyer County Board of Supervisors

March 6, 2012, 7:00 p.m., Assembly Room, Sawyer County Courthouse


members present:  Dale Schleeter (Chair), Ron Kinsley, Mel Olson, Tom Duffy, Walt Jaeger


also present:  Land Records Department Director Robyn Thake, Information Technology Department Director Mike Coleson, Circuit Court Judge Gerald Wright, County Clerk Kris Mayberry


Motion by Kinsley, 2nd by Jaeger, to approve the meeting agenda as presented.  Motion carried. 


Motion by Olson, 2nd by Kinsley, to approve the February 7, 2012 meeting minutes.  Motion carried.


The Committee reviewed a proposal from E.O. Johnson Office Technologies for a 36 month lease of a Lanier MP2352 Digital System black and white photocopier for the Register of Deeds vault to replace the office’s photocopier for which replacement parts are no longer available.  The additional expense in 2012 for the photocopier lease would be approximately $1,000.  Motion by Duffy, 2nd by Jaeger, to recommend Finance Committee and County Board approval of the lease.  Motion carried.


Land Records Department Director Robyn Thake presented a written report, including a report of documents processed by the Real Property Lister, that Geographic Information Specialist Brian DeVries printed municipal ward maps for purposes of posting at election polling places, a request from the Town of Bass Lake and the Town of Hayward for town maps showing both town roads and private access roads, that 26 property address signs are ready to be installed this spring, that there will be a meeting with Sawyer County Recreation Officer Pat Retzlaff to review signing procedures, that the State lapsed the Wisconsin Land Information Program grants but approved funding the 2012 grants with fees to be submitted in the second half of calendar year 2012, that Sawyer County is eligible to apply for a $13,460 land information grant and a $300 training and education grant for 2012, and a summary of visits to Sawyer County’s GIS mapping portal.


Information Technology Department Director Mike Coleson provided a department report, including that the New World Systems software upgrade would take place in April and that he has provided assistance to departments, including the Health and Human Services Department and County Treasurer’s Office.


Circuit Court Judge Gerald Wright’s report that some of the attendees of the 2012 Wisconsin Conservation Congress meeting for Sawyer County were rude and left a mess in the Large Courtroom this week and that they will no longer be allowed to use the Courtroom.  Judge Wright expressed appreciation for the assistance of the Sawyer County Highway Department with providing transportation for jurors during the snowstorm on February 29, 2012.


The Committee reviewed a written department report provided by County Surveyor Dan Pleoger.


The Committee reviewed a written department report provided by Child Support Department Director Sandy Okamoto.


The Committee reviewed the monthly department expense vouchers.  Motion by Kinsley, 2nd by Jaeger, to approve the department reports and expense vouchers.  Motion carried.


The Committee reviewed correspondence from the Wisconsin County Mutual Insurance Corporation providing notice that Sawyer County must provide the Mutual with notice 6 months before January 1, 2013 if the County intends to solicit proposals for public entity liability insurance coverage for 2013.


County Clerk Kris Mayberry reported on insurance, risk management, and liability claims involving Sawyer County.
