Minutes of the meeting of the Courthouse Committee

Sawyer County Board of Supervisors

February 7, 2007, 6:30 p.m., Assembly Room, Sawyer County Courthouse


members present:  Pat Aderman (chaired the meeting), Ron Kinsley, Dale Schleeter


Motion by Kinsley, 2nd by Schleeter, to approve the meeting agenda as presented.  Motion carried.


Motion by Kinsley, 2nd by Aderman, to approve the minutes of the meeting of January 8, 2007.  Motion carried.


The Committee discussed the concern expressed by the Highway Committee as to whether financial data would be entered to keep the New World financial system current in the absence of Financial Coordinator Julie Hofer, and as to whether departments would have New World system support in the absence of Information Technology Department Director Mike Coleson.  County Clerk Kris Mayberry responded that Deputy County Clerk Sandy Hebbe enters the data in the New World System in Ms. Hofer’s absence, and that funds were provided in the 2007 Information Technology Department budget for Lewis & Associates (Bill Lewis) and KD Consulting (Ken Hebbe) to provide support for Mr. Coleson.


Information Technology Department Director Mike Coleson presented information about proposals he received for the purchase of a new telephone system for the Courthouse.  He indicated that he had received additional information about the proposals after the County Board had approved purchasing a new system at the January County Board meeting.  The Committee suggested that Sawyer County’s Corporation Counsel be consulted to be certain proper purchasing procedures are followed and that all vendors be invited to attend a meeting to present information about their proposals.


The Committee reviewed information received from La Crosse County that they were holding a property tax raffle to help offset federal cuts to child support enforcement funding.


The Committee discussed the Finance Committee request for departments and committees to evaluate and prioritize department services.


Land Records Department Director Robyn Thake presented a written department report, including a request for Ms. Thake and GIS Specialist Brian De Vries to attend a Wisconsin Land Information Association conference to be held in Appleton March 7-9, 2007.  Motion by Kinsley, 2nd by Schleeter, to accept the report and to approve attendance at the conference.  Motion carried.


County Surveyor Dan Pleoger presented a written department report.


The Committee reviewed a written department reports provided by Child Support Department Director Sandy Okamoto and by Clerk of Circuit Court Ricki Briggs. 


Information Technology Department Director Mike Coleson presented a department report. 


The Committee reviewed the monthly department expense vouchers.  Motion by Kinsley, 2nd by Schleeter, to approve the vouchers.  Motion carried.


County Clerk Kris Mayberry reviewed recent developments in claims and litigation involving Sawyer County.


Motion by Schleeter, 2nd by Kinsley, to adjourn the meeting.  Motion carried.
